How to Tame a Messy Downloads Folder on macOS (Safely)
The Downloads folder is where order goes to die. Screenshots, installers, PDFs, zip files, and random one-off documents all land in the same place, and most people only notice it when the OS starts warning them about disk space.
The good news is that you do not need to sort files by hand. The bad news is that automated file organization has a bad reputation, because careless rules delete or move things you still need.
Start with the file types you can always recognize
Screenshots, invoices, ID scans, and project archives are easy to identify. A rule that moves screenshots from Downloads into a Screenshots folder by matching file name prefixes is safe to run automatically: a screenshot that is named like a screenshot is almost certainly a screenshot.
Save the broad rules for later. A rule that moves "all images" is where things get risky, because PDF exports, scanned documents, and app assets are all images too.
Put specific rules first
When rules overlap, the order matters. If a broad rule runs first, it can grab files that a specific rule should have handled. On macOS you control this by ordering rules from specific to broad: screenshot rules before image rules, invoice rules before document rules.

Preview the cleanup before you commit
Run a Dry Run first. A Dry Run scans the folder, evaluates every rule, and shows you exactly which files would move where, without moving anything. Read the report, fix the rules that surprised you, and only then apply the real cleanup.
Keep a way back
Even careful rules will occasionally be wrong. Keep the cleanup reversible: move files to Trash instead of deleting them, keep a history of what ran, and make sure you can restore from a snapshot. Reversibility is what turns "automation" from a gamble into a convenience.
